The Maintenance Scheduler contacts vendors to verify availability of facilities, notifies vendors of delivery of specified vehicles, and maintains a file of requests for services. Manages, coordinates, operates, and maintains all GSA
equipment. He/she will assist the Operation/Branch Manager with proper documentation required from MVO to meet
the DOT/DOD/BAE regulations/guidelines that involve equipment. The Maintenance Scheduler will ensure that all commercial transportation inspections of equipment are conducted, vehicle/equipment is serviceable, and meets all
guidelines. He/she will be the alternate Transportation Safety Representative and work alongside dispatcher's to assist when required. Will drive and support occasionally to support missions and or to take equipment to and from vendors.
Formulates weekly schedule of estimated jobs and assigns to appropriate shops/vendors; coordinates with material control on material status and Dispatch for vehicle availability. Reports status of all non-mission capable and preventative maintenance to supervisor.
Prepares detailed written documents using various formats (e.g., work orders, parts order forms, service records, activity logs, personnel evaluations). Receives vehicles and interprets information provided by users and vendors in order to
diagnose maintenance issues; specify repairs to be performed and estimate service time. Coordinates the activities of several inter-related work teams by prioritizing and assigning tasks to ensure the timely completion of all work required in the maintenance, repair, service and/or removal of vehicles, while monitoring shop operations for safe performance.
Coordinates maintenance and repair jobs on Department vehicles with appropriate contract vendors and dealers in order to expedite work and maximize benefits of warranties and service contracts. Monitors the use, maintenance and repair requirements of vehicles in order to ensure serviceability, recommend replacement and/or schedule preventative maintenance. Analyzes inspection forms and work orders in order to determine specific needs and construction methodology required for optimal equipment performance and reliability. Coordinates vehicle disposal and refurbishment by receiving turned-in vehicles and processing required paperwork for disposition, or preparing vehicles to be reissued.
Receives, inspects, evaluates and processes documents for damaged Department vehicles. Coordinates accident repairs with glass replacement contractors, body shops and Department safety and risk personnel. Coordinates the transportation of vehicles to and from locations with Dispatch in order to facilitate timely delivery of repairs. Operates a computer terminal updating/maintaining various databases.
The Maintenance Scheduler will be the alternate Transportation Safety Representative and may be assigned to support
contract requirements in a job-related area. He/she may be cross-utilized in other job areas as necessary. Work is typically performed in well-ventilated and lighted areas with some lifting and moving of materials. The Maintenance
Scheduler may be required to perform duties outdoors with exposure to inclement weather conditions.
Required Skills and Education
High school diploma and 2-3 years maintenance background
Hawaii State drivers' CDL A,P, X license
Ability to obtain/maintain the required security clearance
Knowledge of all types of tractors, trailers, tilt decks, buses, forklifts
Knowledge of the principles and practices of motor vehicle diagnostics and maintenance
Knowledge of Department of Transportation regulations (DOT)
Knowledge of Occupational Safety and Health Administration (OSHA) regulations, and fleet policies and procedures pertaining to the safe performance of fleet service operations
Knowledge of fleet service procedures to coordinate a fleet shop operation
Knowledge of modern office practices, procedures and equipment to perform office functions in an efficient manner
Knowledge of the principles and operation of fuel systems, brakes, engines
Ability to follow detailed oral and written instructions in the modification and repair of vehicles and equipment
Knowledge and experience with pre/post trip inspections
Ability to read and comprehend technical shop manuals, manufacturers' specifications, warranties, extended service program (ESP) manuals, parts and supply catalogs, and service orders in the performance of vehicle diagnostics, maintenance, repairs, and modifications
Ability to do office work, typing, filing, answering phones, scheduling appointments customer service, data entry, and have knowledge of all MS Office programs
